Copy Editing and Graphic Designer Consultant

Organization: International Planned Parenthood Federation Closing date: 23 Oct 2026 Background The International Planned Parenthood Federation (IPPF) is a global healthcare provider and a leading advocate of sexual and reproductive health and rights (SRHR) for all. IPPF Humanitarian is committed to providing lifesaving SRHR and Ssexual and Gender Based-Violence (SGBV) services in crisis-affected areas. IPPF requires the services of a consultant/firm to finalize its Clinical Management of Rape, Intimate Partner Violence (CMR/IPV) toolkit resources designed to support frontline humanitarian responders to deliver human rights-based, survivor centred, trauma-informed and inclusive CMR/IPV services in humanitarian responses. The CMR/IPV toolkit comprises two documents as follows: 1. a CMR/IPV protocol- 40 pages 2. a CMR/IPV pocket guide- 16 pages This Terms of Reference (TOR) therefore, outlines the requirements for professional copy editing, proofreading, design and production of the CMR/IPV toolkit. Role Objectives The overall objective of the consultancy is to produce a high quality, professionally edited and visually appealing publication of the CMR/IPV toolkit. Specific objectives include; • Proofreading, edit and format the final version of the reviewed and validated tools (2) • Design and produce the publication in digital formats. • Ensure the final documents adhere to professional publication standards and are ready for dissemination to relevant stakeholders. Duties and Responsibilities The consultant(s) will work under the supervision of the senior SRH advisor to deliver the following services: A: Copy Editing and Proofreading • Review the language, tone, and structure for accuracy, coherence and readability • Verify consistency of spelling, abbreviations, tables, figures, numbering and references • Ensure compliance with British English standards using Concise Oxford Dictionary (12th edition) • Apply all edits using track changes function in Microsoft Word • Prepare both tracked and clean copy versions of the edited documents. B: Design, Layout and Production • Format and design the final layout of the documents, ensuring professional and visually appealing documents • Incorporate relevant graphics, tables ad photos ensuring clarity and visual balance and using the IPPF colour palette. • Apply the agreed final MS Word and PDF templates for the final output. • Prepare the publication for printing and digital dissemination to the following specifications; o CMR/IPV protocol (40 pages): Book size A4 , double-sided printing including front cover and back cover o CMR/IPV pocket guide (16 pages): Size A5, double-sided printing including front cover and back cover Key Deliverables The work will commence immediately following agreement signing upon which the consultant(s) will share a detailed workplan of incorporating key tasks and periodic content reviews. The consultant(s) will work closely with the senior SRH advisor for technical guidance, content review and approval of deliverables. o Copy-Edited versions of the CMR/IPV Toolkit: Day 7 o Final Print-Ready Files: High-resolution PDFs with bleed/crop marks for professional printing. (Day 24) o Digital/Web-Optimized Files: Lightweight PDFs with interactive navigation (internal links and bookmarks). (Day 24) o Source Files & Asset Pack: All original editable files (e.g., Adobe InDesign, Illustrator) and a folder containing all custom icons/illustrations created. (Day 24) Qualifications Essential: • Proven experience in professional copy editing, proof reading, and publication design. • Evidence of at least two (2) similar assignments completed. • Proficiency in MS Word, Adobe InDesign or equivalent design software. • Strong attention to detail and ability to meet deadlines Competencies, Skills and Experience Core Competencies: • Expert proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop). • Proven track record in taking heavy text and creating charts, infographics, and layouts that improve readability. • Experience working with an INGO or NGO is highly desirable. • Excellent command of the English language and ability to consistently apply editorial standards How to apply Interested consultants/firms are invited to submit: • A brief technical proposal outlining the understanding of the task including methodology and work plan. • A portfolio or links to two samples of similar work. • A financial proposal (USD) indicating total costs. • CVs or company profiles demonstrating relevant experience.
